What is Workforce Scheduling?
Workforce Scheduling is a digital calendar system. It is integrated with the Client Web Portal, so you can manage multiple employee shifts in one place. Set shifts, invite and send notifications to your employees, and receive confirmation of accepted shifts. You can also see an estimated cost of your roster, and generate timesheets from schedules too. Remember, you will still need to verify and submit timesheets as normal.
How can I get Workforce Scheduling?
Workforce Scheduling is available through the Client Web Portal. It needs to be activated by our team. Please call our Customer Experience Centre (CEC) if you would like to get this set up.
Who can use Workforce Scheduling?
If you are a current Manawanui customer and use our Client Web Portal, you can get Workforce Scheduling. Once you are set up, any of your employees who are also on the Portal will have access to the Workforce Scheduling tab too.
Where can I find Workforce Scheduling?
Once Workforce Scheduling has been activated, it will appear in the Client Web Portal on a separate tab call ‘Scheduling’. This is the same for employees who are active on the Portal.
Is Workforce Scheduling available on the App?
Workforce Scheduling is available on your web browser and accessible on mobile devices. Our team is working on an App version so – watch this space!

How do I claim my free 28-day trial?
If you are a Manawanui customer, you can access a free one-time, trial. This trial is available for a limited time only and lasts for 28 days. At the end of your free trial, you will be charged $9.99 per fortnight in line with your pay cycle. You can cancel at any time by contacting our CEC team.
What if I want to cancel my trial or Workforce Scheduling?
You can cancel your free trial any time before the end of the 28 days. You can also cancel your paid service at any time. To cancel your service, contact our CEC and let them know you want to cancel Workforce Scheduling. You can sign back up to the service again at any time, however, you can only activate your free trial once.
How many employees can I add to Workforce Scheduling?
You can add as many people as you like to Workforce Scheduling, however, your employees must be active on the portal and have a valid email address before they can access Workforce Scheduling.
How do I add employees to Workforce Scheduling?
You can add an employee to Workforce Scheduling by adding them in the ‘Employee/Payee’ section of the Client Web Portal. Their details will then become available in Workforce Scheduling and they should be visible in the ‘Invite to shift’ dropdown.
Please note: Only active employees with a valid email address will be visible in the ‘Invite shift’ dropdown.
How can I create a shift?
You can create a shift by pressing the Add Shift button in the top right-hand corner of the Workforce Scheduling screen. This will open a Create Shift form. Once you have completed the form, press Save. When you create a shift, you can choose to email and/or SMS to an employee to notify them of the shift.
Why is the shift unconfirmed?
Unconfirmed shifts are displayed in light grey and indicate it is assigned to an employee, but they have not yet confirmed/accepted the shift.
Can I edit or delete a shift?
Yes, you can edit or delete a shift.
- Double click on the shift and the shift window will appear.
- To Edit, simply amend and make changes to the shift and press Save.
- To Delete, just press the delete button.
- If the shift is recurring, a popup will ask if you want to edit the individual shift or the whole series.
